Understanding GTD

Our brains are excellent at generating new ideas but struggle to remember all of them effectively. For example, you might remember needing to buy a gift for your mother's birthday next week, but instead of reminding you at the right moment—like when you pass by her favorite store—your brain simply creates a vague feeling that you have something to do.

GTD is a system that transforms these vague thoughts, impulses, and insights into concrete actions. By relying on this method, you free your mind from holding all the information, reducing stress and boosting your capacity for productive work.

How GTD Works

GTD is based on creating and maintaining organized lists that capture everything on your mind. Implementing it involves capturing and processing incoming information regularly. You will manage several lists: “Inbox,” “Next Actions,” “Waiting For,” “Projects,” and “Someday/Maybe.” All tasks initially go into the “Inbox” before being sorted into the appropriate list.

1. Capture

Collect all information requiring your attention—emails to answer, brilliant ideas from the shower, reminders, and more. Use a notebook, app, or email yourself to gather these inputs.

When starting with GTD, clear your mind by writing down everything you need or want to do, including tasks that have been lingering for days or weeks, distracting your focus or popping up unexpectedly.

2. Clarify

Regularly review the collected information. This step is crucial to prevent overload. Ask yourself:

  • Is this actionable? If not, delete it or move it to the “Someday/Maybe” list. Keep useful reference material separately.
  • Can it be done in one step? If yes, it’s a single task; if not, group related tasks into a “Project” and identify the next action.
  • Will it take less than two minutes? If so, do it immediately—it’s faster than postponing or delegating.
  • Can it be delegated? If yes, delegate it and track it in the “Waiting For” list; if not, schedule it or add it to “Next Actions.”
  • Is there a specific deadline? If yes, add it to your calendar. Only include tasks with firm deadlines to avoid cluttering your schedule.

3. Organize

Sort everything into the appropriate lists, folders for future reference, calendar entries, or discard it.

Add stalled tasks to the “Waiting For” list with dates to track pending responses or deliveries.

“Next Actions” should contain tasks ready to be done soon. Phrase them as clear, physical actions to make starting easier—for example, “Call Lena to arrange babysitting on Thursday evening” instead of vague reminders.

Tag each task with context labels like “shopping,” “work,” “phone,” or “computer” to help you quickly filter tasks by location, required tools, or priority.

4. Review

Weekly reviews are essential to keep your system effective. The longer tasks remain in the “Inbox,” the harder they become to process.

  • Each project must have a defined next action.
  • Only keep tasks in “Next Actions” that you intend to complete in the upcoming week; move others to “Someday/Maybe” or remove them.
  • Periodically move items from “Someday/Maybe” back into “Next Actions” when appropriate.

5. Engage

Take action! With a well-maintained GTD system, this step becomes straightforward. By consistently applying the first four steps, you ensure your task list is relevant and aligned with your goals.
